Role Overview:
As the Production Manager you’ll be responsible for overseeing the smooth execution of physical production projects. This includes collaborating with the Head of Production on budgets and schedules, coordinating scouting and travel, supporting finance with incentive applications, and ensuring clear communication between clients and production teams.
You’ll also lead meetings, oversee timelines, and onboard freelance teams to the company’s production processes. You'll be responsible for maintaining efficient document management systems and ensuring all production deliverables are met on schedule. As the key day-to-day support for production teams, you’ll play a vital role in keeping everything on track and ensuring a seamless transition to post-production.
Key Responsibilities:
- Ensure adherence to protocols, templates, and production standards.
- Collaborate with the Head of Production (HOP) to prepare production budgets and schedules.
- Prepare and maintain Head of Department (HOD) lists for client use.
- Manage director scouts and coordinate scouting activities.
- Ad hoc travel management / coordination
- Engage early pre-prep crew as required
- Support Finance in processing incentive applications.
- Assist HOP in negotiating HODs and related contracts.
- Act as a liaison between clients and pre-production teams for smooth onboarding.
- Lead production office kick-off meetings to set clear expectations for the team.
- Track and manage the production start-up checklist to ensure all tasks are completed on time.
- Introduce freelance teams to production packs and guide them on how templates should be applied.
- Establish and audit cloud-based filing protocols for efficient document management.
- Maintain and update production overview calendars to ensure key milestones are on track.
- Liaise with production teams to ensure state and federal deliverables are collected and on schedule.
- Serve as the day-to-day point of contact for production teams, offering support, guidance and addressing any concerns or issues.
- Keep the Head of Production updated on production matters and developments.
- Conduct regular check-ins and on-site visits with production teams to ensure ongoing alignment.
- Prepare and track wrap requirements, ensuring a smooth wrap and handover to the Post team.
- Experience as a Production Manager or Snr Production Coord on large-scale scripted productions
- Strong understanding of the Australian production landscape, industrial relations, workflows, industry protocols, and documentation standards.
- Confidence in working with large budgets, schedules, and production calendars alongside senior stakeholders.
- Excellent organisational skills, with the ability to manage multiple moving parts across pre-production, production, and wrap.
- Comfortable leading meetings, onboarding freelance teams, and setting clear expectations with crew and clients alike.
- Hands-on experience with cloud-based document management and production tracking tools. Knowledge of Movie Magic Budgeting and Scheduling software an advantage.
- Solid grasp of state and federal deliverables, including incentives and reporting requirements.
- A proactive communicator and natural collaborator who supports teams and solves problems before they become issues.
- Ability to work independently while keeping key stakeholders informed and aligned.
