Our client is positioned among the top tier in the global screen industry. This exciting business is in growth phase and has a newly created role for an executive-level EA to support the MD. We are looking for someone with a great work ethic, accompanied by a positive & friendly disposition. Someone who can juggle diverse responsibilities with tact and humour.  

You will need to have a proven skillset - be super organised, extremely detail oriented, self-motivated, and adaptable, with high levels of integrity and discretion to handle highly confidential information. Building strong relationships, knowing who’s who, being proactive, being able to look around corners and connect the dots will be critical to success in this role. So will your professionalism in dealing with external contacts & stakeholders, exceptional written and oral communication skills, and detailed planning, time management and organisational skills.  

This will not be a standard 9-5 role and will require a give and take attitude, as outside of business hours will be required at times. However, in return you’ll be given flexibility to manage your day/work/life balance. In fact, work from home if you prefer, it’s up to you. 

The MD is based in Melbourne and you can either work in the office or you can be based elsewhere. Remote working is on offer to the right person (i.e Melbourne, Sydney, Brisbane etc)  

Key Responsibilities will include:

  • Manage the MD’s workflow and priorities, acting as the principle contact point

  • Organising and prioritising daily flow of information, anticipating the daily/weekly needs

  • Managing complex calendars, projects and workflow to ensure timeliness of meetings and awareness of current priorities.

  • Booking and managing travel itineraries for the Managing Director and senior team.

  • Meeting prep, minute taking & collation of briefs

  • Preparation of documents, spreadsheets, contracts, presentations & correspondence

  • All adhoc responsibilities aligned to a role of this nature

Preferred Qualifications

  • 5+ years demonstrated experience in a high-level executive support role

  • Strong computer literacy across MS Office, and knowledge of tech tools / productivity apps for setting efficiencies

  • Strong organisational and communication skills and ability to trouble shoot if issues arise

  • Sound judgment and flexibility in balancing competing priorities

  • Ability to prioritise and handle multiple assignments at any given time while maintaining commitment to deadlines

  • Proven track record of integrity and discretion in handling highly confidential information

  • Ability to stay motivated when working independently and remain professional & efficient if working from home

  • Ability to take on increased responsibilities as the position advances

  • Experience within the media / entertainment or start-up industry an advantage
